How to Compress a PDF Under 1 MB for Online Forms
Many job portals, university applications and government forms only accept files up to 1 MB or 2 MB. A scanned PDF can easily be 10 MB or more, so the upload fails. The good news is that most scans can be shrunk a lot and still stay easy to read.
Why some PDFs are so large
A PDF made by a scanner or a phone camera stores each page as a large picture. A page typed in Word is small, but a scan of that same page can be many times bigger because every part of the picture is saved. Lowering the picture quality a little is what makes the file smaller.
Compress your PDF step by step

Keep text mode shrinks the photos inside the PDF and leaves the text, fonts and links untouched, so the text stays selectable. It works best when the PDF contains large photos or scans stored as JPEG. Scan mode saves each page as a picture instead, which is smaller, but the text can no longer be selected, copied or searched. Always keep your original file.
A PDF that is mostly text, with no big pictures, may not get smaller at all. In that case the tool gives you your original file back instead of a worse one.
